Cleaning client portal: why it stops the phone ringing, and the 8 things it must show

A cleaning client portal stops the phone ringing only if it answers, without a login fight, the four questions clients actually call about: when are you coming, did you come, what was done, and what do I owe. A portal that shows a logo and a booking form but not those four answers changes nothing. This article lists the calls a portal can remove, the eight things it must show, and when a cleaning company does not need one at all.

Which calls does a client portal actually stop?

It stops status calls, not problem calls. In a cleaning company, most messages from clients are one of six types, and only four of them can be answered by a screen. The other two still need a person, and a portal that pretends otherwise just makes clients angrier.

Client messageCan a portal answer it?What the portal has to show
"What time are you coming tomorrow?"YesThe next visit with a date and a time window
"Did the cleaner come today?"YesCheck-in and check-out time for the visit
"What exactly did you clean?"YesThe job checklist and completion photos
"Can you send me the invoice / did my payment go through?"YesInvoices, receipts and the outstanding balance
"Can I move Thursday to Friday?"PartlyA reschedule request, which your team still approves
"Something is broken / the cleaner missed the kitchen"NoA place to report it with photos, but a person must reply

The point of the table: count your last two weeks of WhatsApp messages and phone calls against those six rows. If most of them are in the first four rows, a portal will help. If most of them are complaints and special requests, a portal will not fix that, and better training or a supervisor check will.

How much do status calls really cost a cleaning company?

Less than software vendors suggest, but more than most owners think, because the cost is the interruption, not the minutes. Here is an illustrative calculation, not a measurement: assume each status call or message thread takes about 4 minutes including finding the answer, each recurring client sends about 1.5 of them a week, and your admin costs RM2,500 a month, roughly RM14 an hour over 176 working hours.

Recurring clientsStatus contacts per monthAdmin hours per monthCost at RM14/hour
20about 130about 9about RM120
40about 260about 17about RM240
80about 520about 35about RM490

Change the numbers to your own; the shape stays the same. The hidden cost is that these contacts arrive at 8am and 6pm, exactly when the same person is fixing tomorrow's schedule or handling a cleaner who called in sick. Every "are you coming?" message lands in the middle of the job that actually matters.

Software vendors claim portals cut inbound service calls by 40 to 60 percent, and "where is my technician" calls by 70 to 80 percent when there is live tracking. Those figures come from vendors' own marketing pages (for example Fieldproxy and Fieldcode) with no published method, so we treat them as a hopeful upper bound, not a promise.

What are the 8 things a cleaning client portal must show?

It must show the next visit, proof of the last visit, and the money, in that order, on the first screen. Here is the checklist we would use to judge any portal, including ours:

#Must showWhy clients call without it
1Next visit date and time window"Are you coming?" is the single most common message
2Which cleaner or team is comingCondo guards and homestay owners need a name
3Check-in and check-out time of each visitSettles "did they come and how long did they stay"
4Completion photos and the checklist for that visitAnswers "what did you clean" before it becomes a complaint
5Invoices, receipts and balance owedClients lose PDF invoices sent by WhatsApp
6A way to request a reschedule or an extra jobStops "can you also..." calls at 7am
7A way to report a problem with photos, with a replyKeeps complaints in one thread instead of five chats
8The property's notes: access, pets, do-not-touch itemsClients check that you remembered their instructions

Items 3 and 4 are where cheap portals fail. A portal that says "Completed" with no time and no photo does not settle a dispute; it just moves the argument. If you want to see why photo timing matters, our guide on photo verification covers which photos to take and how to stop them being questioned.

Why do most clients never log in to a cleaning portal?

Because nobody remembers a password for a cleaner they see once a week. If the portal needs an app download and a password, most households will try it once and go back to WhatsApp. Homestay owners with several units are more likely to log in, because they are checking many visits a week.

What works in practice in Malaysia, where clients already message you on WhatsApp:

  • Send the portal link inside the WhatsApp message. "Your cleaning is done, photos here" with a link that opens the visit directly is used far more than a portal people must remember to visit.
  • Sign in with a phone number or a one-tap link. Every extra step loses clients.
  • Make the first screen the next visit and the last visit. Not a dashboard of menus.
  • Make it work on a phone browser. Almost every client will open it on a phone.

If your team is not willing to send that link after every job, the portal will sit unused no matter how good it is. This is a habit problem first and a software problem second.

When is a client portal not worth it?

When you have fewer than about 20 recurring clients and the owner answers the phone personally, WhatsApp is enough. At that size, the status contacts cost about RM120 a month in the calculation above, and a good WhatsApp routine solves most of it:

  • One broadcast or group message the evening before with the next day's times.
  • One message after each job with three or four photos.
  • Invoices sent as PDF in the same chat, so the history is in one place.

That routine is free and clients already use it. A portal starts paying off when the chats become too many for one person to keep track of, when you have several cleaners on the road at once, or when you have homestay owners who need records of many visits.

Being honest about the money: a portal alone does not justify software at RM480 a month. Even at 40 clients, the phone time it saves in our example is about RM240 a month. It becomes worth paying for when it comes together with scheduling, check-in, photo proof and invoicing, because then the portal is just a window onto data you are already recording. A portal that needs someone to type in updates by hand will be out of date within a week.

How do you test a client portal in 10 minutes before you buy?

Pretend to be your own client and try to answer the four questions without calling anyone. Do this with any vendor, including us:

  1. Create a test client and book a visit. Can you see the date and time window from the client side?
  2. Check a cleaner in and out on the staff app. Do the times appear on the client side without anyone retyping them?
  3. Upload three completion photos. Can the client see them for that visit, with the time?
  4. Issue an invoice and mark a payment. Does the client see the invoice, the receipt and the balance?
  5. Open the client side on a phone, from a WhatsApp link, with no app installed. How many taps to see the last visit?
  6. Report a problem as the client. Who on your team gets notified, and where does the reply appear?

If any of steps 2 to 4 needs manual typing by your office, the portal will not reduce work. Our 30-minute software test covers the rest of the system, and the scheduling guide covers what has to be right before the portal can show a correct time.

What does our own client portal show?

Ours was built for our own team of 35 cleaners in Johor Bahru, so it reflects what our own clients ask us about. On the client side today: bookings, the visit schedule, invoices with receipts, damage reports, feedback and each property's details. Whether completion photos and check-in times appear on the client's screen in the way described above is something we would rather show you in a trial than claim here; ask us to demo items 3 and 4 from the checklist.

Use the checklist on us the same way you would on anyone else. Plans and what each includes are on our pricing page, and you can ask for a walkthrough through the enquiry form.
